What we collect, why we collect it, and how to reach us about your information. Short version: we only use it to run the Shootout, and we never sell it.

This policy explains what information the East Coast Ditchbanger Shootout collects through ecdbny.com, how we use it, and the choices you have. The Shootout is organized by East Coast Ditchbangers. When this policy says “we,” “us” or “our,” it means us.
Information you give us
We only collect personal information when you choose to send it to us through a form on this site:
- Race updates signup: your first name, email address, and whether you’re interested in racing, spectating or sponsoring.
- Sponsor registration: your business or organization name, contact name, email address, phone number, business website, Facebook or Instagram page, business address, chosen sponsorship package, preferred race class, any notes you add, and the logo file you upload.
- Contact form: your name, email address, phone number and message.
If you email us or message us on Facebook, we’ll also have whatever you include in that message.
Information collected automatically
- Form submissions: when you submit a form, our form software also records your IP address, your browser type and the date and time, to help us prevent spam and abuse.
- Server logs: like most websites, our hosting provider keeps standard server logs, including IP addresses and pages requested, for security and performance.
- Cookies: we don’t use advertising or analytics cookies. The site only uses cookies needed for it to work, such as the login cookies used by our site administrators.
How we use your information
- To email you race news, registration openings, schedule changes and weather calls when you sign up for race updates.
- To process your sponsorship, confirm your package and follow up about payment.
- To recognize sponsors. Your business name and logo may appear on banners, event graphics, trophies, social media posts and PA announcements, depending on your package. That’s part of what you’re signing up for.
- To answer your questions and messages.
- To keep the site secure and working properly.
We don’t sell or rent your personal information, and we don’t use it for anything unrelated to the Shootout.
Payments
Sponsorship payments are made by check through the mail. Spectator tickets are cash only at the event. We don’t collect credit card or bank details on this website.
Who we share it with
We share information only with the services that help us run the site and the event:
- WP Engine hosts this website.
- Brevo delivers emails sent from the site.
- Google provides our email inbox, where form submissions are delivered. Google also serves the fonts used on this site, which means your browser connects to Google’s servers and shares your IP address when a page loads.
We may also share information if the law requires it, or to protect the safety of riders, spectators or the event.
Facebook and other sites
Our site links to our Facebook page. We don’t embed Facebook content or tracking on this site, but when you visit Facebook, its own privacy policy applies. The same goes for any other site we link to.
How long we keep it
We keep race updates signups until you ask to be removed, so we can let you know about future Shootouts. We keep sponsor and contact records for as long as we need them to run the event, recognize sponsors and keep basic records. Ask us at any time and we’ll delete your information, unless we have to keep something for legal or accounting reasons.
Your choices
- Stop race updates: email us and we’ll take you off the list.
- See, fix or delete your information: email us and tell us what you’d like. We’ll respond within 30 days.
Kids
This website is meant for adults. We don’t knowingly collect personal information from children under 13. Racers under 18 must be accompanied by a parent or legal guardian, and parents or guardians handle any sign-up for them. If you think a child has sent us information, email us and we’ll delete it.
Security
We use reasonable safeguards to protect your information, including a secure (HTTPS) connection and a managed hosting provider. No website or email system is completely secure, so please don’t send us sensitive information such as financial details through our forms.
Changes to this policy
If we change this policy, we’ll post the new version on this page and update the effective date above.
